(Closed) Open Position: Assistant Office Manager

Are you our new dynamic assistant jack-of-all-trades office manager?  We're expanding rapidly, and our team needs support on many different aspects working on a sustainable society. Are you responsible, communicative, love managing lots of to-do's, and ready to jump in to support our awesome team?  Then we have a job for you, for 3 days a week in Utrecht, with room to grow into the future.

What's all this about?

Except's office management is in the center of our operations in the Netherlands.  The office managers serve as the social and organizational glue  of the office.  They are aware of all aspects of the company's operations, and are dedicated to making sure that everything runs smoothly on a social, organization, communication, content, and financial level. 

We are expanding our operations, and increasing our workforce and impact.  The current office manager can barely keep up with all the different tasks involved. That's why we need you, our new assistant office manager.

Do you have a passion for sustainability? Are your interests all over the place? Are you detail oriented and an excellent communicator in Dutch and English, both spoken and written? Are you a jack-of-all trades and love getting lots of to-do's done, on time, to support everyone? Do you enjoy planning social events? Sounds good? Then we're definitely looking for you.

Tasks & Responsibilities

 You'll be working independently with many responsibilties, but with backup right behind you. You report straight to the senior office manager, Jeroen van der Vlist. 

The assistant office manager is intimately familiar with each Except member and their their needs. You support the social interaction between them and our network, and cater to all the office requirements for them to be able to do their work.  This involves communication with internal and external parties, through phone, email, and in person, in both English and Dutch. You also help draft social media messages, plan events, drinks, office dinners and escape room outings and the like. You'll help with administrative tasks, document management, and also help the sales department. You'll also assist with planning our Symbiosis in Development trainings.

To summarize: you support and facilitate many different things for the team. This allows them to flourish in their respective roles, by making sure they don't have to worry about the stuff they shouldn't have to worry about.


  • Be the first-line of contact with clients and public enquiries, receive and host visiting guests
  • Answer emails, phone calls, and direct enquiries, and forward them to the appropriate person
  • Set up meetings, arrange their specifics, calendar management
  • Help internal communication, plan meetings, events,  and arrange facilities
  • Help external communication, social media, newsletters, and brochures


  • Set up events and help run them, both internal, project based and external events
  • Assist setting up acquisition, introduction and SiD workshops
  • Help with new member enrollment, contract arrangement, IT registration, etc.
  • Help with administrative tasks, and document management
  • Conduct regular surveys with staff to make sure things are going smoothly, and there aren’t resources that they are missing


  • Stockkeeping and ordering of communication materials, office supplies, kitchen supplies, etc
  • Help arrange joint lunches
  • Keep an eye on office presentation, clean desks, cool little improvements, etc.
  • Little in between jobs, postage, mailings, errands

About you

There's always plenty to do and you anticipate, facilitate and take initiative. We're a thriving bunch, there's never a dull moment here and your skill in showing initiative and being creative and energetic in problem solving is highly appreciated. 

Special about this position is that we'd like someone who loves organizing exciting events, and be active on social media to report the happenings in our community.  We hope you have a positive disposition, and always look for practical solutions, with a can-do attitude.

  • You're an excellent communicator: you listen well, are patient, and love to learn. Your Dutch & English writing and speaking skills are excellent, and you love to write.
  • You have a hospitable nature and love to make guests feel well at home.
  • You love and have experience with organizing creative events.
  • You're entrepreneurial, a go getter with initiative, not afraid to try and fail, get up and try again.
  • You know your way around computers, and preferably have experience with Adobe Indesign.


  • On the basis of 3 days a week, hours are flexible.
  • Salary indication  €1.260 ,= bruto per month, depending on your experience.
  • You get a public transport card and a phone budget
